This policy explains what personal information LuminHive Labs Pty Ltd collects, why we collect it, who we share it with, and how you can access, correct or complain about it. We handle personal information in accordance with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).
1. What we collect
When you fill in our free website check form or contact us, we collect:
- Your first and last name
- Your business name and what kind of business it is
- Your email address and mobile number
- Your current website address, if you have one
- Anything you choose to write in the notes field
When you browse the site, we also collect technical information: your IP address, browser and device type, the pages you visit, and diagnostic data when something goes wrong. IP addresses can identify you, so we treat them as personal information.
We only collect what we reasonably need to answer your enquiry and prepare a quote. Please don’t send us sensitive information — health details, racial or ethnic origin, political or religious beliefs, sexual orientation, or criminal record — through our forms. We don’t need it and we don’t want to hold it.
2. Why we collect it and what we do with it
We use your personal information to:
- Respond to your enquiry and arrange your free website check
- Prepare and send you a quote or proposal
- Deliver the services you engage us for, and support you afterwards
- Send you service messages about work we’re doing for you
- Understand how our website is used, so we can improve it
- Diagnose faults and keep the service secure
- Meet our legal and tax obligations
We do not sell your personal information. We do not share it with third parties for their own marketing.
3. Marketing emails
If we send you marketing email, it will identify us clearly and include an unsubscribe link that works for at least 30 days. Unsubscribing takes effect within five working days, as required by the Spam Act 2003 (Cth). We’ll always keep sending you messages about work in progress — those aren’t marketing.
4. Who we share it with, and where they are
We use a small number of service providers to run our business. They only handle your information to provide services to us.

We may also disclose your information where the law requires or authorises it, or to our professional advisers under confidentiality.
5. Automated decisions and AI
We build AI software, so we want to be straight with you about it.
Our website forms do not make automated decisions about you. When you submit an enquiry, a person reads it and responds.
Where our software uses a computer program to make, or to substantially help make, a decision that could significantly affect someone’s rights or interests, we will disclose here the kinds of personal information used and the kinds of decisions involved. New obligations covering this take effect on 10 December 2026, and we will update this section before then.
6. How we keep it safe, and how long we keep it
We protect personal information with encryption in transit and at rest, access controls, and database security so records can only be read by those entitled to them. Your enquiry records are held in Australia (Sydney). No system is perfectly secure, but we take it seriously.
We keep enquiry information for as long as we need it to deal with your enquiry and for a reasonable period afterwards, and longer where tax or other law requires. When we no longer need it, we destroy it or de-identify it.
7. If something goes wrong
If we suffer a data breach that is likely to cause you serious harm, we will assess it promptly — within 30 days at the outside — and where required we will notify you and the Office of the Australian Information Commissioner (OAIC), explaining what happened, what information was involved, and what you should do about it.
8. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it’s wrong. Email privacy@lumin-hive.com. We’ll respond within 30 days. There’s no charge to make a request.
If we refuse access or correction, we’ll tell you why in writing and explain how to complain.
